What is an AI assistant for business?

An AI assistant for business is an internal copilot, available only to your employees, that draws on your organisation’s knowledge: procedures, HR policies, technical documentation, sales proposals or project history. It answers questions in plain language, cites the documents it used, helps draft emails or reports and summarises lengthy files. Unlike a customer chatbot, it works with internal and often confidential information.

At Uteek, we connect the assistant to your document sources, such as shared drives, your intranet or your document management system, while respecting existing access rights: each employee only sees what they are allowed to see. We integrate it where your teams already work, for example in your internal messaging tool or intranet, and support adoption through training and regular feedback.

What your internal AI assistant does

Search across your documents

Precise answers to employee questions, built from your procedures, guides and internal documents, with a link to every source the assistant relied on.

Writing support

Drafts of emails, meeting notes, proposals or briefs in your company’s tone and formats, ready for employees to review and adjust before sending.

File summaries

Summaries of long documents, email threads or meeting records, so people can quickly find decisions, open questions and next steps without rereading everything.

Access rights enforcement

Permission checks aligned with your existing tools, so each user only gets answers based on documents they are actually allowed to access.

Integration into your tools

An assistant available from your intranet, team messaging app or a dedicated web app, with single sign-on wherever your systems support it.

Employee onboarding

A single entry point where new hires can find answers on their own about tools, internal rules and the way your company works.

Why choose Uteek for your internal AI assistant?

An internal assistant must be reliable, secure and easy to use, and we address all three requirements from day one.

Confidentiality at the core

Your choice of hosting, open-source models on your own servers where needed, strict respect of access rights, and compliance with both Tunisian personal data law and the GDPR.

Thoughtful user experience

Our UX/UI designers create a clear, fast interface that fits your teams’ habits, so the assistant becomes part of everyday work rather than a tool forgotten after a few days.

Verifiable answers

The assistant always cites its sources and says when it cannot find the information. Employees can check every answer and flag mistakes, which helps improve the knowledge base over time.

Change management support

Team training, user guides, feedback collection and regular adjustments: we stay involved after launch to help the assistant become a tool your people genuinely rely on.

Frequently asked questions: AI Assistant for Business

What is the difference between an internal AI assistant and a customer chatbot?

A customer chatbot speaks to the public and answers from content meant for external audiences. An internal AI assistant is reserved for your employees, signs them in with their company credentials and works with internal, sometimes confidential documents. It also helps with writing and summarising, whereas a customer chatbot focuses on informing and guiding visitors.

Which documents can the AI assistant use?

The assistant can work with most common formats: PDFs, Word documents, presentations, spreadsheets, intranet or wiki pages and knowledge bases. We connect it to your shared drives, document management system or collaboration tools. During scoping, we select reliable, up-to-date sources with you, because answer quality depends directly on them.

Does the assistant respect each employee’s access rights?

Yes, this is a core design principle. The assistant inherits the permissions set in your source tools and filters documents before building each answer. Someone in the sales team will not receive information from restricted HR documents, for example. Access rules are tested with you before the assistant is rolled out to your teams.

Are our internal documents used to train public models?

We use API offerings whose terms exclude your data from being used to train the provider’s models, or open-source models hosted on your own servers. Your documents are indexed in a space dedicated to you. The choice between these options depends on how sensitive your data is and on your internal policies.

Does the assistant show where its answers come from?

Yes. Every answer includes links to the documents or passages it used, so employees can check the information and dig deeper when needed. When no relevant source is found, the assistant says so clearly instead of improvising, and the question is logged to help enrich the knowledge base.

Does the assistant work in several languages?

The assistant works in French, English and Arabic, and can answer in a different language from the source document. Questions asked in Tunisian dialect are tested case by case with your teams. This flexibility is useful for companies whose documentation mixes several languages, as is common in Tunisia.

How do you encourage teams to adopt the assistant?

We start with a motivated pilot group and focus on concrete, frequent use cases. We then run short training sessions, share examples of useful questions and track real usage. Employee feedback drives improvements, which builds trust and encourages people to use the assistant regularly in their daily work.
